Member is expiring soon and wants to continue. What should staff do?

Steps

  • Open Active Clients, Commerce renewal queue, or the person profile and confirm current plan, expiry date, dues, freeze state, and last invoice.
  • Discuss whether the member wants the same plan, upgrade, downgrade, add-ons, or PT/session pack.
  • Use POS or the approved renewal/subscription flow for the same person profile. Do not create a duplicate member record.
  • Select plan/add-ons, payment arrangement, billing cycle, proration if applicable, coupon if approved, and payment method.
  • Review invoice, GST, outstanding balance, and entitlement dates before collecting.
  • Collect payment or send payment link, then confirm subscription validity and invoice/payment state from profile Transactions.

Correct outcome

The same person profile has a renewed subscription, correct invoice/payment state, and reports show renewal revenue without duplicate membership.
