Sales wants automatic follow-up after a trial is created or attended. How should the automation be configured?
Steps
- Open Automation and choose Custom Automation or From library if a suitable trial template exists.
- Enter automation name, description, and ownership scope for the current tenant or selected locations.
- Pick the trigger from the trigger category list, such as a trial, appointment, class, or CRM event returned by the backend catalog.
- Set trigger timing, offset, and unit. Use On trigger for immediate follow-up and After trigger for delayed reminders.
- Open Journey Entry Filters and add only necessary conditions, such as lead source, trial status, assigned rep, or plan interest.
- Add client actions such as Send WhatsApp/SMS/Email, and staff actions such as Create Task or Create Staff Notification.
- Configure every action with When, Offset, Unit, template, sender, provider account, and channel-specific content.
- For staff notification, decide whether Associated Staff should receive it or whether a specific Staff recipient ID is needed.
- For WhatsApp automation, select an active approved WhatsApp template; automation should not save with the WhatsApp warning still present.
- Save Draft, open Automation Detail, run Test, review Runs and failed action counts, then Activate.
Correct outcome
Trial follow-up happens through approved providers, creates staff work where needed, respects entry filters, and exposes run history for failures.
