Send a renewal campaign without spamming the wrong members

Owner wants to send a renewal offer to members expiring this month. What should marketing do?

Steps

  • Open Campaign and click Create campaign.
  • Enter Campaign Name and Campaign Description that explain the real business purpose, such as Monthly renewal offer for expiring members.
  • Choose the Action Group date and time window, then open Step 1 Segmentation.
  • Select a relevant pre-built segment or build rules using subscription end date/member status/plan/source fields. Use AND when every condition must match and OR only when either group is acceptable.
  • Use Client Filter include only for exact known clients and exclude for people who should not receive the campaign, such as already renewed members or VIP exceptions.
  • Add actions for Email, SMS, WhatsApp, Create Task, or Push only when each channel has a connected provider and sender.
  • For WhatsApp, choose an active approved WhatsApp template. Do not use free-form WhatsApp copy for a marketing campaign.
  • Preview Audience and check total, reachable Email/SMS/WhatsApp, and suppressed counts before saving.
  • Set quiet hours and blackout period if the campaign should not send during late night, holidays, or gym blackout dates.
  • Use Save & Test first, inspect the test delivery and content, then Publish only after owner/manager approval.
  • After launch, open campaign detail Delivery and review queued, failed, delivered, suppressed, provider ids, and failed reasons.

Correct outcome

Only the intended expiring members are contacted, opted-out people are suppressed, provider readiness is respected, and campaign delivery can be audited.
