Before you start
- PT session balance should come from POS sale of PT pack/add-on and Schedule appointment consumption, not from spreadsheets.
- Trainer utilization depends on appointments being booked with the correct trainer, category, start/end time, attendance, no-show, and cancellation state.
- Low balance and no-show patterns should create follow-up tasks or sales opportunities when the member needs renewal or service intervention.
- Use the dashboard to spot issues, then open Schedule or Person Profile for the actual correction.
Daily workflow
- PT lead reviews today and tomorrow appointments, trainer load, low balances, and no-shows.
- Trainer opens relevant profile before session to check medical history, pinned notes, and session balance.
- After each session, mark attended, no-show, late cancel, or regular cancel in Schedule so balances and reports remain correct.
Watch out
- Do not manually add or subtract PT sessions to make the dashboard match expectation. Fix the sale, booking, cancellation, or attendance record that caused the mismatch.
