Before you start
- Add New Trial searches and selects an existing person before trial setup is saved. If the person does not exist, create them from People first, then return to Trials.
- Search and select an existing person first.
- Use trial setup to choose the configured trial type, start date, preferred time, owner, channel, and source.
- Trials list supports search plus filters for trial type, status, owner, channel, source, client rep, start date range, and end date range.
- Trials table shows member name, channel, source, client rep, trial start date, trial end date, trial owner, and trial session progress.
- Trial detail shows person/contact, current status, trial definition, session progress, owner, trial window, preferred time, and session history.
- Trial status values are Scheduled, Active, Completed, Expired, No show, and Canceled. Status notes should explain why the lifecycle changed.
- Trial session logging requires session date/time, status, and notes. Session status values are Booked, Attended, No show, and Canceled.
- Export Trials exports the currently filtered trial list, so clear filters before exporting all trials.
- Trial start/end dates must be valid dates, and the end date cannot be before the start date.
- Log a trial session when the person actually attends. Booked sessions and attended sessions are different signals.
- Trial progress shows sessions used against allowed sessions from the selected trial setup.
- Log trial session records booked, attended, no-show, or canceled visit evidence.
- Trial counters come from session allowance and logged sessions. Example: 1 of 3 means one session used out of three allowed.
- A trial can be used for class booking only when the class allows trials, the trial is active/scheduled, the class date is inside the trial window, and session allowance remains.
Daily workflow
- For walk-in trial: create or open person, create opportunity, create trial, optionally book trial appointment.
- At visit: open trial row and log session as attended, no-show, booked, or canceled as applicable.
- After trial: create follow-up task or convert through POS.
- If a trial customer asks for another visit, check session progress and trial window first, then log/book the next trial session only if allowance remains.
- When converting, open profile or POS from the same person and keep trial/opportunity evidence attached to the membership sale.
Watch out
- Do not create a separate user from Trials just because the person came for a trial. Trials should reuse People records.
