Before you start
- Use Appointment for one-to-one work such as PT, consultation, assessment, tour, or trial slot.
- Use Class for group sessions; do not create a one-to-one PT session as a class just to see it on the calendar.
- Start and end times must be valid local gym times, and end time must be after start time.
- For physical sessions, room and trainer conflicts are real. For virtual sessions, use the virtual link and do not force a physical room.
- Cancellation outcomes matter: regular cancel may restore eligible PT balance, while late cancel, attended, and no-show usually keep it consumed.
Daily workflow
- Filter by date, trainer, room, category, or location before making changes.
- Click an event to open details, verify person/class/trainer/time, then reschedule, cancel, check in, mark attendance, or message participants from the detail view.
- Use blockouts for trainer/room unavailability before accepting bookings.
Watch out
- Do not drag or edit bookings without confirming the customer, trainer, and room accepted the new time.
